PA TO THE PRODUCERS

We are seeking a highly organised and efficient Personal Assistant to support the company’s two Directors and a Producer within a dynamic and fast-paced theatre producer’s office in the West End. The successful candidate will be proactive, detail-oriented, and comfortable managing a varied workload in a deadline-driven environment. Job responsibilities include, but are not limited to:

EXECUTIVE SUPPORT

  • To be first point of contact for the company, directing calls and correspondence to appropriate staff.
  • Manage the complex diaries of two Directors – schedule appointments, and set up meetings internally and with external stakeholders including Board Meetings.
  • Provide diary and administrative support to the Producer.
  • Maintain and update office calendar with show dates, staff annual leave, key events etc.
  • RSVP to Press Nights and other invitations on behalf of Directors.
  • When required, reply to correspondence on behalf of Directors.
  • Liaise with external contacts regarding the Directors’ involvement in other industry-related groups, such as SOLT and League of Independent Producers.
  • Read and summarise meeting papers for Directors ahead of Board Meetings.
  • Minute meetings and collate minutes from colleagues following internal meetings.
  • Ensure new contacts are added to the company CRM, maintain accurate contact lists for various shows.
  • Monthly expenses – Directors’ and office expenses, credit card settlements and office petty cash, maintain petty cash float.
  • Investor and industry-related liaison including preparing statements.
  • Travel arrangements including international itineraries.
  • Some scheduling of personal diaries and support on personal admin that will require complete confidentiality and discretion.

OFFICE MANAGEMENT

  • Order and stock office refreshments and stationery.
  • Liaise with building management when required.
  • Provide hospitality for meetings, and arrange for gifts, flowers, cards etc to be sent when applicable.
  • Support on production events such as press nights.
  • Lead on organisation of company events including training courses, trips, and Christmas parties.
  • General office duties, shared amongst whole team.

PERSONAL SPECIFICATION

  • At least 3 years’ experience in an office environment.
  • Calm but firm demeanour, with a high level of discretion.
  • Excellent written ability and strong interpersonal skills.
  • Experience in the theatre industry is preferred but not essential.
